JOB SUMMARY

This position reports to the Trinity Health Of New England Regional Director of Financial Planning, and Regional Director of Finance & Financial Reporting. Performs extensive administrative duties for Regional Directors requiring proven work experience within each supporting function, relieving management of daily administrative details. Performs all clerical and secretarial duties with limited supervision and provides immediate support of the office function in absence of Directors. May be required to conduct special projects in a timely manner, as assigned.

JOB QUALIFICATIONS

Education: Minimum of 2 years Associate Degree in secretarial science or financial assistant; baccalaureate degree preferred.

Experience: Minimum of 5 years executive or financial assistant experience or any equivalent combination of experience and training.

Licensure: None.

Skills: Microsoft office products including proficiency in Excel, Word and PowerPoint. Should possess excellent oral, written and communication skills as well as organizational skills. Possess high degree of judgment, discretion and knowledge of organizational procedures. Ability to work with minimal supervision.

JOB DUTIES

* Coordinates and completes all activities involved in preparation of Regional Directors and Finance Managers correspondence to facilitate ongoing communication and administrative operations.

* Perform function of co-administrator for the Regional purchase card program.

* Maintains records and established filing system for the Regional Directors and Finance department files to ensure the expeditious retrieval of information.

* Maintains schedules and appointments for Regional Directors and Finance Managers to ensure efficient utilization of staff time.

* Contributes to the effective management of the department by supporting Regional Directors and Finance Managers.

* Coordinates and or completes assigned activities involved in the preparation of Special Projects.

* Maintains confidentiality of information of the Office of the Regional Directors or any other area of the hospital according to pre-established policies and/or procedures.

* Maintains proper level of office inventory supplies to allow staff to complete assigned responsibilities.

PHYSICAL AND MENTAL EFFORT

Moderate amounts of physical activity, including stooping, loading, lifting. High tolerance for stress and ability to deal with numerous task interruptions. Position requires ability to frequently perform moderately difficult manipulative and hand-eye coordination skills; walk, stand and sit for prolonged periods; see objects closely and far away, and hear normal sounds with some background noises. Position requires ability to concentrate on fine detail with interruption and attend to tasks for more than 60 minutes at a time. Individual must be able to understand and relate to theories behind several related concepts and remember multiple tasks given over long periods of time.

ENVIRONMENTAL AND WORKING CONDITIONS

Typical office environment subject to constant interruptions and heavy work volume requirements.
