Responsible for the full processing of payroll for the YNHHS System. The payroll process is run for 24,000+ employees across 13 process levels. Works in conjunction with the Payroll Manager and Payroll Coordinator to resolve any payroll and Kronos related issues in a way which results in an accurate resolution for a true and accurate payroll. Handles the daily operations of the Payroll Department, carrying out all System payroll functions. Coordinates the operation of the centralized Lawson Payroll System for the Yale New Haven Health System, ensuring that each Hospital and Affiliates are on schedule with all pay period deadlines. Works with the Payroll Manager and department staff to provide continuity of service to all payroll customers. Monitors departmental payroll input for data processing, prepares monthly payroll journal entries, and performs a biweekly pay period review for accuracy. Coordinates the preparation of weekly/bi-weekly, monthly, quarterly and year-end tax reporting to all government agencies through extern our tax service provider. Responsible to provide a reconciliation and research function for Bank accounts and Payroll owned General Ledger accounts. Provides operational support to the Payroll Manager in the development, coordination, implementation and testing of Lawson Payroll System releases and upgrades. Responsibilities
  • 1. PAYROLL PROCESSING:
    • 1.1 Must have working knowledge of computerized payroll systems and applicable payroll laws and regulations. Must be able to run the 24,000+ person payroll to a true and accurate completion within the designated time bank and system deadlines using the organization's provider of choice software. Must be able to run payroll using various software interphases for file creation such as Kronos to Lawson file for all process levels, data entry and verification, totals review and comparison, tax issue resolution, wires, and check requests, paycheck printing, direct deposit filing and paycheck and direct deposit distribution.
  • 2. Controls YNHH Hospital and HSC payrolls for data entry and verification accuracy.
  • 3. Reconciles payroll Bank accounts and payroll owned general ledger accounts.
  • 4. Controls the issuance of manual checks for the System.
  • 5. Coordinates the preparation, production and retention of all related information for the System's payrolls.
  • 6. Performs a Bi-weekly pay review, (gross to net), for accuracy.
  • 7. Coordinates with external tax service provider, all governmental tax reporting requirements in a timely and accurate manner, including W2C, 941C and W3C corrections.
  • 8. Prepares monthly journal entries in a timely and accurate manner.
  • 9. Answers payroll customer inquiries in a timely and accurate manner.
  • 10. Prepares metrics and reports as needed to monitor payroll performance.
  • 11. Maintains all payroll information (e.g. deduction authorization, bonus payments, etc.) in accordance with internal and external legal requirements.
  • 12. Utilizes intense payroll knowledge as a participant in departmental and System Hospital-wide project teams.
  • 13. Is responsible for training of YNHH and all affiliates staff in the use of all payroll related systems.
  • 14. Handles all information and disbursements of executive level special payments.
  • 15. In conjunction with the payroll manager and other payroll staff works toward the goals of improved customer relations and 100% payroll accuracy.
  • 16. Attends internal and external meetings and training seminars, in order to be current with Lawson System and Payroll reporting changes and regulation requirements.
  • 17. In conjunction with the payroll manager, works with out partners in HR, Benefits, IT and Accounting for swift and accurate issue resolution.
  • 18. In conjunction with the payroll manager and other internal representation works with external Vendors and Government agencies.
  • 19. Functions as a full back-up to the Payroll Manager in all Kronos related activities including training of new managers/kronos editors.
  • 20. Coordinates and verifies system testing, in addition to the day-to-day operations of the Payroll office.
  • 21. Performs other duties as assigned by Payroll Manager or Supervisor.
Qualifications
EDUCATION

4 year degree in Accounting, Finance or Business Administration

EXPERIENCE

A minimum of 3 years in payroll or accounting position required. Lawson and Kronos experienced preferred.

SPECIAL SKILLS

Must have exemplary written and verbal communication skills. Must be able illustrate the ability to deal with sensitive, confidential information in a professional manner. Must have three (3) to five (5) years experience in office operations using Lawson support systems. Must have excellent organizational and prioritization skills along with the ability to pursue and support the needs of the department. Working knowledge of the Microsoft office suite and ACL experience.
