Coordination and management of staff calendars, meetings, conferences, catering, travel and expense reports
Participate in team meetings to support the meeting leader, take notes, capture action items; assist with subsequent follow up to drive completion of action items
Support project leaders with administrative tasks
Create and track purchase orders, enter data into various business systems to satisfy reporting requirements and maintain compliance
Create and manage email distribution lists for recurring meetings, periodic communications, and team announcements. Ensure that the distribution lists are up to date with current and relevant staff members.
Plan and execute offsite events and meetings for employee functions, staff meetings, etc.
Support the administration key programs (safety, employee well-being, etc..) by coordinating events and communications
Ensure employee communications boards are maintained with up to date relevant information
Welcomes guests and customers when needed, follow company policies and procedures regarding visitor entry and access .
Must be very detail oriented.

Working hours: 08:00am-5:00pm

Minimum 5 years professional experience.
Must have proficiency in Microsoft Office Suite (Word, PowerPoint, Viso, Excel)
Ability to handle sensitive matters and exercise good judgment; maintain confidentiality of information
Proficient written and oral communication skills, ability to communicate effectively internally and externally to effectively execute responsibilities noted
Ability to solve problems independently, great organizational skills, high attention to detail
